Background

The International Organisation for Migration (IOM) is looking for Receptionist in Chisinau according to the Terms of Reference below, to start on 16 March 2015.

Organizational unit:                 European Union Border Assistance Mission to Moldova and Ukraine (EUBAM)

 Core Functions/Responsibilities:

 Under the guidance and direct supervision of the Head of Field Office Chisinau and under the overall supervision of the Head of EUBAM Liaison Office in Moldova, the incumbent assists in the smooth operation of the European Union Border Assistance Mission (EUBAM) in Moldova. The Receptionist works in close collaboration with Field Office Chisinau and EUBAM LO in Moldova and for the effective achievement of administrative results, contributing to resolving project-related issues and information delivery. The incumbent is expected to exercise full compliance with IOM administrative rules, regulations, policies and strategies.

 

  1. Participate in data collection and maintenance of project-related files;
  2. Provide oral and written translations from English into Romanian or Russian and vice versa as required by the Head of Field Office Chisinau;
  3. Proofread and/or edit the project’s correspondence and other official documents;
  4. Operate the telephone switchboard, receive and respond to incoming calls, transfer them to relevant staff and respond to routine inquiries;
  5. Receive all visitors, directs them to the respective offices; allow scheduled visitors to the office; issue passes to visitors and keep their IDs or passports instead;
  6. Receive all kind of mail, including diplomatic mail, ensuring its proper distribution it to the final recipients;
  7. Identify urgent calls/messages and inform relevant personnel;
  8. Maintain staff office telephone list, staff list with photos, staff birthday list including regular updates;
  9. Make copies of the required documents for the Field Office Chisinau and EUBAM Liaison Office in Moldova on the monthly basis;
  10. Perform other functions/tasks when required by the Head of Field Office Chisinau.

 Recruitment Qualifications:

  1. University Degree in philology, economics, finance, accounting, law, public administration or other related field;
  2. Two years of experience in administrative work, accounting/finance, economics, or other substantive area is required;
  3. Previous experience in development assistance or related work for a donor organization, consulting company, or NGO is a very strong advantage;
  4. Experience in the usage of computers and office software packages (MS Word, Excel, etc) and advance knowledge of spreadsheet and database packages, experience in handling web-based management systems;
  5. Fluency in both oral and written English, Romanian and Russian languages is a must.
